Top Gun Landscaping BC
Missed-call and voicemail follow-up for a landscaping team.
AI Automation Consultant
I reviewed four weeks of call logs, built the Twilio and n8n workflow, and connected Claude’s extraction from SMS replies and saved voicemail transcripts to Airtable. Site visit approval stayed with the coordinator.
10 site visits booked and four completed jobs worth approximately CAD 8,400, traced to missed-call records during a six-week pilot.
The owner was on site and the coordinator also handled invoices and supplier orders. Calls were going unanswered; the company needed a reliable follow-up process for existing enquiries.
Find the missed enquiries
About 45 of roughly 180 incoming calls had not reached a person over four weeks. Repeat calls, suppliers and spam meant these were not all lost customers. A fixed SMS acknowledgement opened a follow-up conversation after an unanswered transfer.
Keep the voicemail context
Voicemail transcripts were saved and passed to Claude API to extract enquiry details. Those details reached the coordinator through the same lead card used for SMS follow-up. n8n validated extracted fields before updating Airtable, and the coordinator approved site visit slots before Google Calendar confirmation. Claude Code assisted development; Claude API handled the runtime AI tasks.
Handle the failure cases
Call-ID tracking and recent-contact checks prevented duplicate texts. A press-1 acceptance step stopped voicemail being mistaken for a human answer. Opt-out handling, failure alerts and manual takeover kept the coordinator in control.
